Every Friday evening the same story: the phone rings because someone wants to move or cancel a reservation. Your team stops what they are doing, looks up the booking and adjusts it manually. Meanwhile, a table freed in time is exactly the chance to seat someone from your waitlist.
More and more restaurants let guests make changes online themselves. Not because they want to be less reachable, but because it is faster and you set the rules. In this article you learn what to configure, how that ties in with a deposit and why clear terms still matter.
Why let guests do it themselves
Guests who want to cancel are more likely to do so when it is easy. Without an online option they postpone it, do not call or only call late on the day itself. Then a table stays empty when you could have filled it. Let guests cancel or reschedule themselves and it usually happens earlier and more cleanly. Your team does not have to process every change manually and can focus on guests in the dining room.
This is not about switching off your phone entirely. Some situations stay personal: large groups, special requests or last-minute changes. But for standard reservations, self-service saves a lot of back and forth. Combine it with automatic confirmation emails and reminders, as we describe in our article on reducing no-shows, and you get a smoother flow from booking to possible cancellation.
What you choose and configure
Not every restaurant wants the same thing. That is why in Restotailor you configure cancelling and rescheduling separately. You can allow only cancel, only reschedule, both or neither. That fits how you work: a brasserie may let guests reschedule freely; a fine-dining venue may prefer to handle changes by phone.
If you enable online changes, you also set a time limit: how many hours before the reservation may a guest still cancel or reschedule themselves? In practice many restaurants choose 24 or 48 hours, but you can also set 6, 12 or 72 hours. Within that window the guest handles it; after that the online link is too late and they must contact you. That way you keep control without keeping the phone open all the time.
How it works for your guest
Is online cancel or reschedule enabled? Then we include a personal link in the reservation confirmation. The guest clicks, sees the reservation details and can cancel or pick a new time in a few steps. It works on mobile, where most guests manage their booking. When rescheduling we only show times that are actually free, linked to your table plan and opening hours.
Once the deadline has passed, the guest gets a clear message that online changes are no longer possible and that they must contact your restaurant by phone. So also put your phone number in every confirmation email, in case someone still wants to discuss an exception. The guest does not feel left in the lurch and you stay reachable for edge cases.
Deposit and cancellation rules
If you ask for a deposit when booking, cancellation remains a separate decision. Restotailor does not hold payments: the deposit goes straight to your account. On cancellation you decide what to do with that amount: refund on timely cancellation, keep part of it or retain it on late cancellation. Put those rules in your terms and conditions and confirmation email so guests know what to expect upfront. In Belgium a deposit is allowed when those terms are clear and the guest agrees when booking.
Align your cancellation window with your deposit policy. If someone cancels within the window, for example 48 hours, you apply your refund rule. Outside that window you prefer to decide yourself by phone whether to be lenient or keep the deposit. More background on when a deposit makes sense and how to set it up is in our article on deposits when booking. Consistency counts: the same rules in your widget, your emails and what your team says on the phone.
Set up in Restotailor
You find everything under calendar settings in your Restotailor dashboard. Enable online cancel and/or reschedule, choose the number of hours in advance and use the preview to see how the page looks for your guest, including when cancelling is no longer possible. That way you test the experience before going live. The settings apply to reservations via your widget and other channels that land in the same system.
Combine self-service with the rest of your reservation policy: deposit on busy shifts, maximum group size online, longer table time for large tables. Everything connects in one platform, included in €65 per month. Start with one clear choice: for example allow cancel up to 24 hours ahead and reschedule up to 48 hours. After a few weeks, check whether your team gets fewer change calls and tables free up faster for other guests.
Conclusion
Letting guests cancel or reschedule themselves does not mean losing control. On the contrary: you decide what is allowed, within which window and what happens to any deposit. Fewer phone calls, tables freed faster and a more professional experience for your guest. With Restotailor you configure cancel and reschedule separately, choose a window from 6 to 72 hours and we send the links automatically in the confirmation. Put your cancellation rules in your terms and conditions, especially when you work with deposits. Everything is included in your €65 per month subscription. Try it on your next busy weekend: your team will notice the difference right away.
